Acceptable Use Policy

1. Never permitted anywhere
- Harassment, discrimination, hate speech, threats, doxxing, or targeted intimidation.
- Violence-glorifying, terror-promoting, or incitement content.
- Sexual content directed at minors, or grooming behavior.
- Self-harm or suicide content directed at another user (safety, awareness, prevention, and support content is permitted with appropriate context).
- Illegal activity, weapons trafficking, controlled-substance sales, or fraud.
- Malware, phishing links, scraping, credential stuffing, or attempts to bypass rate limits or authentication.
- Impersonation of Foundation staff, board members, volunteers, chapter officers, partners, or any other person.
- Political-campaign activity prohibited under IRS Publication 1828 for 501(c)(3) organizations.
2. Team Portal · special rules for EDC team
The Team Portal at admin.espritdcf.org is for EDC team members, board members, contractors, and vendors with a documented need to access Foundation records. It is not for outside use and does not extend to community members or general partners.
Additional restrictions apply to Team Portal access:
- No screenshots or screen recordings of Portal surfaces without express written approval from the Executive Director. This includes Slack, chat, meeting apps, phone photos, and any tool that captures visual output.
- No exporting, downloading, or copying of Portal data outside of authorized workflows. CSV exports, PDF exports, and clipboard copies are only permitted when the underlying record and workflow explicitly authorize it.
- No use of Portal data for personal benefit. Donor contact information, applicant records, volunteer rosters, incident reports, meeting minutes, and every other Portal record belong to the Foundation. Using them for your own consulting, fundraising, recruiting, political activity, side project, or any external purpose is a material breach.
- No sharing, posting, or forwarding of Portal content to any person or channel that does not have equivalent Portal access. Do not paste Portal records into external chat, email a private record to a partner, or link a public Google Doc to Portal content.
- Never paste, upload, or otherwise share Portal-derived data with any external AI model or service (ChatGPT, Claude, Gemini, Copilot, Perplexity, or any similar service, including browser extensions, IDE assistants, and note-taking apps with AI features). Portal data may only be processed by the AI running inside the Team Portal itself. Violation is treated as a data breach and triggers the incident response process below. This rule has no exceptions.
- Watermarks and audit logs. Portal pages may display a visible watermark showing your account and a timestamp. Copy, print, and export actions may be logged with your identity, source record, and time. These deterrents do not replace the rules above; they exist to trace violations after the fact.
- No sharing credentials, magic links, session cookies, one-time codes, or two-factor devices with any other person, including other teammates.
Breach of any Team Portal-specific rule triggers immediate access review and may result in suspension, termination, referral to counsel, and other remedies the Foundation deems appropriate.
3. Sensitive information
Never store real Social Security numbers, credit-card numbers, complete bank routing numbers, or account passwords anywhere except designated encrypted vaults (Access vault inside the Team Portal). Do not paste them into notebooks, chat, or meeting notes.
Health-related, disability-related, discharge-related, and benefit-eligibility information is treated as sensitive. Share only with teammates whose role requires it, and only in approved records.
4. Content you post
You are responsible for content you post. You represent that you have the right to post it, that it is accurate to the best of your knowledge, and that it does not infringe anyone else’s intellectual property or privacy. You grant the Foundation the license described in the Terms of Service.
5. Automated moderation
Foundation surfaces use automated systems (safety scanners, spam filters, content classifiers, AI safety filters) to detect prohibited content. These systems may blur, hide, or delete content that appears to violate this policy. Automated actions are reviewable on request; contact the appropriate channel.
6. Reporting a violation
Report a violation via the appropriate channel on the Contact page. Retaliation against a good-faith reporter is prohibited.
7. Enforcement + removal
The Foundation may, at its sole discretion, remove content, suspend accounts, revoke provider or partner status, and terminate access to any Foundation surface with or without notice. Serious violations (safety, threats, doxxing, sexual content targeting minors, fraud) result in immediate removal without prior notice.
